How ThinkTech Systems Ltd collects, uses and protects personal data, and the rights you have over it.

Who we are
ThinkTech Systems Ltd is an IT and digital consultancy based in Hertfordshire, working with businesses across Essex, London and the wider UK. We provide managed IT support, cyber security, telephone systems, and websites and applications. For the personal data described in this policy, we are the data controller.
We are registered with the Information Commissioner's Office as a data controller. If you would like our registration details, please ask and we will provide them.
What we collect
When you contact us through the enquiry form, by email or by phone, we collect:
- Your name
- Your email address and phone number
- Your company name, where you give it
- The details of your enquiry and any messages you send us
If you become a client, we also hold the contact details, account information and technical records we need to deliver and support your services. That includes records of support requests and details of the systems we manage for you.
Our enquiry form uses Cloudflare Turnstile to tell real people apart from automated bots. It checks your browser rather than tracking you across other websites.
How we use it, and why we are allowed to
We use personal data to:
- Reply to your enquiry and prepare a quote
- Deliver, support and manage the services you have asked for
- Keep your systems secure, monitored and backed up
- Send you information about your account, such as invoices and service notices
- Meet our legal and accounting obligations
Our lawful basis is usually legitimate interests, so that we can answer enquiries and run our business, or performance of a contract where we are delivering services to you. Where we keep records to meet a legal duty, such as accounting records, our basis is legal obligation.
We do not sell your personal data, and we do not use it for automated decision making or profiling.
Marketing
We only send marketing email if you have asked for it, or if you are an existing client and the message is about similar services. Every marketing email has an unsubscribe link, and you can tell us to stop at any time by emailing info@thinktechsystems.co.uk.
Cookies
This website does not use advertising or tracking cookies. The only cookies set are the strictly necessary ones needed for the site and the enquiry form's bot protection to work.
Who we share it with
We do not sell or rent your data. We share it only with the suppliers we use to run our business and deliver your services, and only as far as they need it. Those include our hosting and content platforms, our email delivery provider, our security and connectivity providers, and our accountants. Each is bound by contract to protect your data and to use it only on our instructions.
We may also disclose information where we are legally required to do so.
Where your data is held
Our systems and suppliers are based in the UK, the European Economic Area and the United States. Where personal data is transferred outside the UK, we rely on the safeguards allowed under UK data protection law, such as an adequacy decision or the UK addendum to the standard contractual clauses.
How long we keep it
If an enquiry does not turn into work, we keep it for up to two years so we can pick the conversation back up if you return to us. Client records are kept for as long as we work together and then for up to seven years, which is the period we need for accounting, tax and any potential claims. After that we delete or anonymise them.
How we protect it
Security is a large part of what we do for clients, and we hold ourselves to the same standard. We use multi-factor authentication, endpoint protection, encryption, access controls and monitored, tested backups across our own systems.
Your rights
Under UK data protection law you have the right to:
- Ask what personal data we hold about you and receive a copy
- Ask us to correct anything that is wrong or incomplete
- Ask us to delete data where there is no good reason for us to keep it
- Object to how we use it, or ask us to restrict our use of it
- Ask us to transfer it to another provider
- Withdraw your consent, where we relied on consent

Complaints
If you are unhappy with how we have handled your data, please tell us first and we will do our best to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, by calling 0303 123 1113, or by writing to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
Changes to this policy
We update this policy when our services or the law change. The date at the top of this page shows when it was last revised.
